Account information: Name, email address, company name, and workspace details provided during registration.
Content metadata: Titles, file types, upload dates, and processing status of content you upload. We do not access or read the substance of your uploaded content except as needed to provide the service (indexing, search, and display).
Usage data: Search queries, session activity, feature usage, timestamps, resolution outcomes, and interaction patterns within the platform and embed widget.
Technical data: IP address, browser type, device information, and operating system. Collected automatically to maintain security and improve performance.
Learner data: For end-users (learners) accessing training through your workspace — name, email, audience type (internal/external), search queries, session data, content interactions, and completion status.
2. How We Use Your Data
We use collected data to:
- Provide, maintain, and improve the Beetsol platform
- Process and index uploaded content for search functionality
- Generate analytics and insights visible to workspace administrators
- Provide customer support
- Communicate important updates about the service
- Send marketing communications (only if opted in; you may opt out at any time)
- Detect and prevent misuse, fraud, or security threats
We do not use your content to train AI models. Your content is processed through trusted third-party services solely to generate search functionality for your workspace.
3. What Workspace Administrators See
Administrators of a workspace can view: search queries made by learners, session outcomes (resolved/unresolved), content engagement metrics, completion status, and aggregated analytics. Administrators cannot view learner passwords or authentication tokens.
4. Data Sharing
We do not sell your personal data. We share data only with:
Service providers: We use trusted third-party service providers to operate and deliver the platform. These providers access data only as necessary to perform their services and are bound by contractual obligations to protect your data.
Legal requirements: We may disclose data if required by law, regulation, legal process, or enforceable government request.
Business transfers: In the event of a merger, acquisition, or sale of assets, your data may be transferred to the successor entity. You will be notified of any such transfer.
5. Data Security
We take reasonable measures to protect your data, including secure data transmission, access controls, and regular review of our security practices. No system is completely secure, and we cannot guarantee absolute security. You are responsible for maintaining the security of your account credentials.
6. Data Retention
Active accounts: Data is retained for the duration of your subscription.
Cancelled accounts: Data is retained for 30 days after cancellation to allow for export. After 30 days, all data is permanently deleted.
Deleted users: When a workspace administrator deletes a user, personal data associated with that user is purged within 60 days. Aggregated, de-identified analytics data is retained.
Session and search data: Retained for 12 months for analytics purposes, then automatically purged.
7. Cookies and Tracking
We use essential cookies required for authentication and session management. We do not use advertising or third-party tracking cookies.
8. Your Rights
You may at any time:
- Request a copy of your personal data
- Request correction of inaccurate data
- Request deletion of your data
- Request an export of your uploaded content
- Opt out of marketing communications

If you are located in the European Economic Area or United Kingdom, you have additional rights under GDPR. If you are a California resident, you have additional rights under CCPA. The rights listed above apply to all users regardless of location and meet or exceed the requirements of both frameworks.
9. International Data Processing
Your data is hosted in the United States. Beetsol's team accesses data as needed to maintain and improve the platform. Team members are located in Canada and India. We ensure appropriate safeguards are in place for all data access regardless of location.
10. Children's Privacy
Beetsol is not intended for use by individuals under 18. We do not knowingly collect data from children. If we become aware that we have collected data from a child under 18, we will delete it promptly.
11. Changes to This Policy
We may update this privacy policy from time to time. Material changes will be communicated via email or through the platform with at least 14 days' notice before taking effect. The effective date at the top of this policy will be updated accordingly. Continued use of the platform after changes take effect constitutes acceptance.
